AI PRODUCTIVITY COACHING

Build an AI productivity system that gives you your head back

For 15 years, I felt underwater: too many tasks, messages and projects; an infinite to-do list; the constant sense that I was dropping something.

Now I feel fundamentally and profoundly on top of my shit.

I can keep ten active projects in view without carrying them all in my head. I have deleted all the tedious digital work out of my life.

I built this system for myself. Now I want to help you build your own.

One recent example: I had a one-hour conversation with a collaborator about a new retreat idea, and then the robots built me a sales page, budget, collaborator agreement and launch plan.

That work was done, to my quality standards, with about 20 minutes of tweaking. Normally that would take me days of work.

As of 29 August 2026, that retreat is at €14,950 in sales and is on track to sell out.

The “secret sauce” — I’ll give it away

There is no magic prompt.

I built several small, standalone systems that are useful on their own:

Context is a compact map of my businesses and where the real sources live.

Projects remembers what matters now, whose move it is and when something needs my attention again.

Messages checks selected inboxes on demand and finds the conversations that need me.

Each module earns its keep independently.

Together, they create an emergent intelligence that is much more powerful than any module alone. A client’s WhatsApp question is no longer isolated text: the system knows who asked, which project it concerns and where to find the relevant budget, agreements and working methods.

It can connect the dots and draft a grounded answer for me to check.

The hard part is containing complexity. Agents naturally elaborate. Our job is to prune it down to an elegant simple system that’s perfectly adapted to your needs, without adding a bunch of pointless embellishments.

I add functionality only when real use proves it is needed.

Don’t copy my system as is. Take inspiration from it. Start with one problem, build the smallest elegant module that helps, use it, correct it, and only then add another piece.

What could your first module do?

  • Turn meeting transcripts into useful records and next actions
  • Keep your active projects in view
  • Compare calendars, spreadsheets or financial records
  • Find messages that deserve your attention and draft replies
  • Produce a recurring report, proposal or website update

Look for the work you repeatedly copy, check, chase, reformat or reconcile.

Start with the thing you keep avoiding

The best starting point is usually the work that makes you flinch: the inbox you will not open, the admin you postpone, the project you keep rebuilding in your head.

We choose one recurring burden and build one small system around it.

I stay beside you while we map the work, give the agent the right context and limits, test it on a real example, and correct what comes back. Then you run it yourself.

Once that piece is dependable, we add the next—gradually building towards feeling fundamentally and profoundly on top of your shit.

Testimonial

“Rich gave me exactly the push I needed. He helped me get set up with ChatGPT and start delegating tasks I would otherwise avoid for a week. Things that used to take ten frustrating minutes are now done in 30 seconds. I’ve simplified my banking, and AI is taking over lots of tedious work. It feels easy, smooth and fun.”
